Operations Coordinator

 

The Operations Coordinator is an important part of Buffalo Niagara Heritage Village’s (BNHV) operations. This person coordinates various administrative tasks related to Operations and Visitor Services. Organization, time management, ability to work independently, and ability to coordinate multiple projects and schedules are key.

 

This position is full time, Temporary with direct hire potential, and reports to the Deputy Director.

 

Key Duties

·        Coordinate organizational space use and maintain the space use calendar

·        Coordinate facility rentals, including handling renter inquiries and tours, event preparation, and serving as day-of facility coordinator

·        Coordinate museum’s operational and logistical needs, such as event planning, facility maintenance appointments, visitor services coverage scheduling, ticketing, financial reporting, supply inventory, etc.

·        Coordinate, supervise, and support Visitor Service Team members

·        Coordinate the volunteer program, including recruitment, training, and supervision

·        Perform opening and closing duties and perform visitor services desk duties, on an as needed basis

  1. Process daily mail and outgoing organizational mailings

·        Assist with administrative tasks for Executive Director and Deputy Director

·        Other duties as assigned

 

Expectations:

·        Strong administrative or office management background.

·        Exceptional organizational, time, and detail management skills required.

 

Hours and Schedule

·        Full Time, Temporary with direct hire potential, 40 hours per week.

·        Schedule is Tuesday-Saturday from 8:30 am to 4:30 pm. Additional hours required for events, rentals, and programs.

·        On-site role.

 

Salary

 $20 per hour

Visitor Services Assistant

 

The Visitor Services Assistant is an important part of Buffalo Niagara Heritage Village’s (BNHV) operations.The Visitor Services Assistant performs various administrative tasks related to Operations and Visitor Services. Reliability, organization, time management, and ability to multi-task and to work independently is key.

This position is part-time, seasonal.

Key Duties

  • Perform opening and closing duties, including but not limited to: turning on/off lights and locking/unlocking visitor-use doors.
  • Provide visitor desk services for community events, education programs, general admission, facility rentals, and additional visitor services, programs, and offerings as needed.
  • Monitor the main organizational phone line and email account and respond to messages and visitor needs in a timely manner
  • Assist with administrative tasks for Executive Director and Deputy Director.
  • Provide guided tours to the public on an as needed basis.
  • Other duties as assigned.

 

Expectations:

  • Strong administrative, customer service, or office assistance background.
  • Exceptional organizational, time, and detail management skills required.

 

Hours and Schedule

  • Part Time, Seasonal, minimum of 7 hours per week
  • Standard Schedule will commonly vary between 9:30 am to 4:30 pm or 2:30 pm to 9:30 pm. Adjusted hours may be required to accommodate community events, rentals, and programs.
  •  On-site role.

 

Salary

 $17 per hour

Development Coordinator

The Development Coordinator plays a vital role within the Buffalo Niagara Heritage Village (BNHV) team. This individual is responsible for the upkeep and organization of essential administrative functions and documentation for the Development Department. This includes managing our donor database DonorPerfect, working with GiveCloud, and utilizing Google and Microsoft Office applications.

 

Working closely with the Director of Development, the Coordinator will assist in identifying and actively pursuing various funding opportunities that support the museum's mission. These efforts encompass cultivating annual fund donations, conducting grant research, securing sponsorships, planning and executing special events, managing in-kind gifts, maintaining the membership program, handling tributes and dedications, and other Development related activities.

 

Qualifications

Excellent verbal and written communication skills.

Strong organizational, time, and office management skills.

Ability to self-manage and multi-task, organize, and prioritize multiple tasks and streams of work.

Ability to maintain discretion, confidentiality, and diplomacy.

Comfortable interacting via email, phone, video conferencing and in-person.

 

This role is part-time, 20-25 hours per week

On-site role with flexible schedule, occasional evenings and weekends
